Job description

We are working with an innovative international architectural practice based near Liverpool Street who are looking for a Receptionist and Studio Administrator to join their team. This role will involve performing front-of-house duties whilst also working closely with the Office Manager to provide any administrative support at the studio. This role will also involve providing minor PA responsibilities when needed within the office. They are looking for someone enthusiastic, has excellent communication skills and is willing to get stuck in with the busy team. Previous experience working at the reception desk and performing administrative tasks is essential for this role.

The Role

  • To take responsibility for the front of the house within the office.

  • To work closely with the Office Manager to provide diverse studio support.

  • Providing integral reception and front-of-house duties, including telephone cover, greeting visitors, and providing refreshments when needed.

  • Setting up meeting rooms and liaising with IT support.

  • The right candidate will liaise confidently with clients at all levels, welcome visitors, receive incoming telephone calls and take and distribute messages as necessary.

  • Arrange post and booking of couriers, printing, binding, organizing and controlling the catering for the office including meeting room bookings and provision of refreshments for meetings.

  • You will be assisting with setting up meetings/CPDs and internal/external company-related events.

  • You will also be assisting with minor PA duties such as travel arrangements and office trips.

  • You will be an excellent communicator, cheerful and flexible, always willing to be part of a busy team.

The Candidate

  • Previous experience working in a Reception/Front-of-House role including administrative.

  • Outgoing, enthusiastic and friendly.

  • Good working knowledge of MS Word/Excel and Outlook is essential, InDesign and Photoshop would be useful but not essential.

  • Excellent English, both spoken and written.

  • A natural at prioritizing your workload conscientiously and hitting deadlines.

  • Able to take responsibility for own work.

  • As an ambassador for the studio in all areas including with clients, you must be naturally personable and professional.
